REGISTRATION POLICIES

 

 

Course Cancellation

Western Continuing Studies reserves the right to cancel courses or programs with low enrollment. If a course or program is cancelled, all fees will be refunded or students will be given the option of transferring.

 

Drops, Transfers and Refunds

 

WITHDRAWALS OR DROPS

Failure to attend class or advising the instructor of your request to drop does not constitute an official withdrawal.

Non-Credit Programs and Courses

To request to drop a course go to myWCS > Registration History OR or by sending us an email with your name, course and reason for dropping the course. You will be advised within 24 hours by email whether the drop has been approved or denied.

Credit Programs and Courses

You must contact Western Continuing Studies in writing to officially request changes to your courses or to be withdrawn from a Post-Degree or French Immersion credit course or program.

 

TRANSFER

Non-Credit Programs and Courses

To transfer to another course go to myWCS > Registration History OR or by sending us an email with your name, current course, course you wish to transfer into and the reason for transferring out of the course. You will be advised within 24 hours by email whether the transfer has been approved or denied.

  • Courses Six Weeks and Greater
    Requests to transfer out of a course will be allowed prior to the start of the second class, or by the second scheduled Monday for online courses.  A $25 transfer fee is charged.
  • Courses under Six Weeks
    Requests to transfer out of a course will be allowed up to two days prior to the start of a course.  A $25 transfer fee for non-credit courses and a $15 fee for courses in the French Essentials program is charged.
  • Virtual Bootcamp (full time and part time)
    Requests to transfer out of a course will be allowed up until the start of a course. A $25 transfer fee is charged.

Credit Courses and Programs

REFUNDS

Non-Credit Courses and Programs

Courses Six Weeks and Greater:

  • For drop requests received a minimum of 10 calendar days prior to the start date of the course, a full refund will be given and a $25 drop fee is charged.
  • If the drop request is received after 10 days and up to the start day of a course, a refund of 85% of the course fee will be given and a $25 drop fee is charged.
  • If the drop request is received before the start of the second class for in class courses, or by the Monday of the second scheduled week for online courses, a refund of 75% of the course fee will be given and a $25 drop fee is charged.
  • No refunds are given after the second class.

Courses Under Six Weeks:

  • For drop requests received a minimum of 10 calendar days prior to the start date of the course, a full refund will be given and a $25 drop fee is charged.
  • If the drop request is received after 10 days and a minimum of five days prior to the start of the course, a refund of 85% of the course fee will be given and a $25 drop fee is charged.
  • No refunds are given after five days prior to the start of a course.

Virtual Bootcamp:

Full time

  • For drop requests received up until the start date of the course, a full refund will be given and a $25 drop fee is charged.
  • If the drop request is received within seven days after the start date of the course, a refund of 90% will be given and a $25 drop fee is charged. Thereafter, no refunds will be granted.

Part time

  • For drop requests received up until the start date of the course, a full refund will be given and a $25 drop fee is charged.
  • If the drop request is received within 14 days after the start date of the course, a refund of 90% will be given and a $25 drop fee is charged. Thereafter, no refunds will be granted.

 

Credit Courses and Programs

Refund schedules and policy for credit programs are set by Western University.

 

Payment Policy

Full payment is required to secure your spot in a non-credit course. You are not considered registered until payment is received. Payment includes all course fees except required materials and textbooks.

Full payment or a non refundable deposit is required for our French Immersion program. Credit programs (Post-Degree and French Immersion) students will be billed by Western’s main campus to your Student Centre account.

WESTERN EMPLOYEES

If you do not meet the completion/grade or attendance requirements, exceed your educational assistance limit in courses at WCS or are no longer eligible for educational assistance, you are required to reimburse Western Continuing Studies for the full cost of the course:

  • You will be contacted by email to provide payment information to collect outstanding fees;
  • An immediate hold will be placed on your account in our registration system;
  • Western Continuing Studies will contact Human Resources about your outstanding fees to prevent further claims under the educational assistance program; and  
  • A failing grade will be placed on your student record (i.e. fail, incomplete or numerical grade below 50).

 

Registration Deadlines

There are no registration deadlines for our non-credit courses. Registration remains open until the course begins, provided there is available space.  Late registration is permitted prior to the second class, or by the second scheduled Monday for online courses. It is your responsibility to make up any missed material. Failure to do so or difficulties as result of a late start are not grounds for withdrawal or a refund.

Post-degree students will be notified of the registration period. 

 

Tax Receipts

Non-Credit Programs and Courses

Effective for the 2019 tax year, Canada Revenue Agency (CRA) requires all designated educational institutions in Canada to issue a T2202, Tuition and Enrollment Certificate, for qualifying students enrolled in a specified educational program.

Qualifying student:

  • Enrolled in a specified educational program
  • 16 years of age or older
  • 12 hours per month spent on courses in a program

Course eligibility (in a specified educational program):

  • Course(s) are at least three consecutive weeks in length
  • Course hours in a program totals at least 12 hours per month
  • Tuition fees paid equal or exceed $100
  • Student personally paid the tuition fees. (If your employer or company paid on your behalf or you were reimbursed, you are not eligible to claim your T2202)

*CRA requires educational institutions to collect and submit Social Insurance Numbers (SIN) on the T2202. Students are required to update their myWCS student profile with their SIN in order to obtain a T2202 form.

 

Credit Programs (Post-Degree Diploma and French Immersion)

A T2202A form (Tuition and Education Amounts Certificate) will be issued by the University for students formally admitted to a post degree program or enrolled in a French Immersion credit program. Students will be notified via email when the forms are available to print from your Student Centre account.
